Terms & Conditions

 

Tables are available for rent at £90.00 each. Please make bookings on the form provided. Payment should accompany the form to reserve a table. Payment can be in the form of a cheque (UK bank in sterling), PayPal, cash or bank transfer. A refund will only be made if the paid for table is re-let. No refund will be made for a cancellation within 30 days of the date of the fair. The allocation of the tables is at the discretion of the organisers.

 

The organizers must be informed of any table sharing at the time of booking with a maximum of two sharing per table. Both of those sharing must put items out for sale.  

 

Each exhibitor, making the booking, will be given 4 complimentary tickets. These tickets are provided for exhibitors to give to their customers. The complimentary tickets may not be sold.

 

Exhibitors and assistants will be given identification labels and will be asked to wear them. This will help door staff to keep out those who should not be in the room during set up.

 

Exhibitors must set up before the opening of the fair to the public and should dismantle immediately after closure. Setting up time is 07:00 to 09:30 with only exhibitors admitted at this time. Stand holders may have one assistant for the purpose of loading and unloading and manning the stand. Once loading is completed assistants must remain at the stand or outside the exhibition suite until public opening time.

 

Any buying at the fair prior to the public opening at 10 am is strictly limited to exhibitors. Any person deemed to have gained entry for the purpose of early buying, will be asked to leave by the organizers whose decision is final.


No reproduction goods allowed. Exhibitors should only display items that are for sale, unless prior arrangements have been made with the organisers to permit an exhibition of items. No exhibitor may act as a collection agent for any auctioneer.

 

Neither the organisers nor the Holiday Inn Hotel shall be responsible or liable for theft, fire or other damage whether caused negligently, wilfully or otherwise, and they are expressly released from any and all liabilities for any loss, injury or damage to persons or property. In case the organiser shall for any reason not hold or manage the fair, or if the Holiday Inn hotel or any part thereof be damaged by fire or by any other cause, or if by reason of Government or Local Authority restriction the use of the hotel is prevented, either before or during the fair, the exhibitor waives any claim for damages or compensation which might arise by reason thereof.

 

No combustible materials or otherwise, may be used. No items may be brought into the hotel that might cause damage to the hotel or be a risk to the general public. Items not on display must be stored in an orderly fashion beneath the exhibitor’s table. No material may be displayed on the floor in front of the tables although tripods may be stood at the side and at the back of stalls. No obstruction may be placed in gangways or in front of fire exits. Hotel regulations state that no materials be fixed to walls by any means whatsoever, though exhibitors may provide their own tabletop freestanding display units.

 

Loading/unloading access is through the entrance in Hebrand Street at the side of the hotel. All vehicles must be removed from loading area of the hotel immediately after unloading.

 

The organisers reserve the right to change these conditions where necessary and that these will be conveyed to the exhibitor via email or writing if email is not available.

The organisers’ decisions in any matter relating to the running of the fair are final.

On The Day

The fair opens to exhibitors at 7:00 am

On Arrival

On arrival you should enter the hotel via the loading area and go to the fair desk, you will be given your table number and identity badge. Please wear the badge to help us control access during set up.

 

Road Access to the Hotel Loading Area

On entering Coram Street from Woburn Place, turn next right into Herbrand Street, there is a small service area, on the left, giving access to the hotel loading entrance. Once unloaded please remove your vehicle and park it. Go to the fair site scientificfair.com and look at “Venue Location & Parking, there is link there to a map of the area.

 

Parking

Off street parking is available next to the hotel at a charge, the current rates (subject to change) are £17 for 12 hours and £20 for 24 hours. There are no parking restrictions around the hotel (Camden parking zone CA-D) from 1:30pm Saturdays and all day Sundays (as of March 2010). Other Camden zones are different. Go to the fair website scientificfair.com, and then “Venue Location & Parking to find the link to "Parking Zones In Camden", most residents’ bays, meter bays and single yellow lines can be used. However do check the nearby signs for suspensions and variations. Normal parking rules should be observed. The area is patrolled by attendants looking for pavement parking, parking next to dropped pavements, double yellow line infringements and so on.

 

The Hotel

The Holiday Inn Bloomsbury, is a modern building with low and high level signage, it is set back from the pavement. The hotel is in Coram Street. If approached from the west, the hotel is on the right hand side, there is a tall chimney at the corner of the hotel. If approaching from the east, via Marchmont Street the hotel is on the corner formed with Coram Street, there is a bar called Caffrey's at the corner of the hotel. There is a link on the website giving a Google Street View of Coram Street
